Privacy Requests

Kavi Media, Inc.
Version 1.0 — Effective 20 October 2026
Published at kavi.audio/legal/privacy-request

In short: email privacy@kavi.audio to ask Kavi for a copy of your personal data, or to correct it, delete it, withdraw a consent, opt out of AI training (creators and contributors), nominate someone (India), raise a grievance or appeal a decision. You do not need a Kavi account, and there is no form. Kavi confirms it is you by writing to an email address it already has for you, and never asks for government ID numbers or Aadhaar. It costs nothing.

1. Who can ask

1.1 Anyone whose personal data Kavi may hold can make a request, including: (a) listeners, for an account or for any profile on it; (b) creators, co-hosts, co-owners, authors and short-form creators, as section 9.5 of the Creator Privacy Notice says; (c) guests, cast members, writers, freelance editors, narrators and translators, as section 9.7 of the Contributor Privacy Notice says; (d) affiliate program members, including people with only a Program account; (e) people who joined the waitlist or applied to join Kavi as a creator; and (f) someone acting for any of these people (section 5).

1.2 How to ask. Email privacy@kavi.audio and say what you want (section 2). You can also write to Kavi Media, Inc., 169 Madison Ave STE 30314, New York, NY 10016, USA. Creators can also use the Kavi Creator Portal. Every route is handled the same way.

1.3 Do not use this address for:

2. What you can ask for

2.1 Everyone. Wherever you live, you can ask Kavi to:

Request What Kavi does
Copy of your data Tells you what personal data Kavi holds about you and how it is used, and sends you a copy by email or a secure link to the email address Kavi confirmed.
Correction Corrects or updates inaccurate or incomplete data. You can also change most profile details yourself in the app.
Deletion Deletes the personal data Kavi no longer needs. For listeners, see section 2.2.
Withdraw a consent Stops processing that relies on your consent (for example, email newsletters, or a consent you ticked in a creator or contributor agreement). You can also unsubscribe from any marketing email with the link in it.
AI training opt-out (creators and contributors) Within 30 days, stops using your content in new training of Kavi's own AI models and deletes it from Kavi's training datasets. Models already trained are not retrained. (Section 7 of the Privacy Policy explains how Kavi uses de-identified listening data, including for people in India.)
Revoke an AI-Voice & Digital Replica Consent (creators who signed one) Treats your email as written notice to privacy@kavi.audio under clause 9.1 of that Consent, given on the day you send it, and confirms receipt within 3 days. The Consent then applies. If you live in India (and say you are withdrawing consent under India's DPDP Act) or in Washington State, Kavi stops creating Replica Outputs on receipt.
Withdraw a Voice License Agreement (voice actors who signed one) Treats your email as written notice under clause 15.1 of that Agreement, given on the day you send it, and confirms receipt within 3 days. Kavi stops starting new Kavi Voice audio and deletes your voice data as clauses 15 to 17 provide; if you live in Washington State or in India (and say you withdraw under India's DPDP Act), Kavi stops creating Kavi Voice audio on receipt.
Grievance Looks into a concern about how Kavi handles your personal data.
Appeal Reconsiders a decision Kavi made on an earlier request.

Kavi may decline or limit a request where the law allows (for example, where Kavi must keep tax or payment records, or where another person's rights would be affected). Kavi will tell you why.

2.2 Account deletion (listeners). You can delete your account yourself in the Kavi app's Settings, or ask by email. When you do, Kavi deletes or de-identifies the personal information in your account. Kavi keeps: (a) your listening and engagement history in de-identified form: without your name, email address, photo, bio or sign-in details, and linked only to an internal profile number. It is the record creators' royalties are calculated from. Kavi also uses it to improve recommendations, and may use it to train and evaluate Kavi's own AI models (for people in India, only as Indian law allows). It is never sold, and never given to outside AI companies to train their models; (b) a one-way hash of your email address with the free-tier listening time you used, so that a new account with the same email address does not restart the free tier; (c) backups, which are overwritten within 35 days; and (d) records the law requires, such as payment and tax records. Sections 7 and 13 of Kavi's Privacy Policy (kavi.audio/legal/privacy-policy) list exactly what is deleted, what is de-identified and what is kept. If you want Kavi to delete more than account deletion does, ask by email, and Kavi will tell you what it can delete and, if it cannot, why. If any profile on your account is a creator profile, the account is not deleted through the app: ask here or at privacy@kavi.audio.

2.3 India. If you live in India, you can also ask Kavi to: (a) give you a summary of your personal data being processed and the processing activities, and the identities of the data fiduciaries and processors it has been shared with, with a description of the data shared; (b) correct, complete, update or erase your personal data, subject to the law; (c) withdraw a consent, as easily as you gave it; (d) nominate another person to exercise your rights if you die or become unable to act (section 5.4); and (e) redress your grievance (section 8). Kavi accepts these requests now. The duties in India's Digital Personal Data Protection Act, 2023 (the "DPDP Act") bind Kavi by law from 13 May 2027, or any earlier date the Government of India notifies. If you are not satisfied with Kavi's response, you may complain to the Data Protection Board of India after using Kavi's grievance process, as the DPDP Act requires.

2.4 Washington consumer health data. If you live in Washington State, USA, or your consumer health data was collected in Washington, you have the rights in Kavi's Consumer Health Data Privacy Policy (kavi.audio/legal/consumer-health-data-privacy-policy): to confirm whether Kavi collects, shares or sells your consumer health data and to access it, with a list of every third party and affiliate it was shared with or sold to and a way to contact each; to withdraw consent; to have it deleted; and to appeal. Say in your email that your request is about "Washington consumer health data". For Kavi, consumer health data means recordings of people's voices and what they say about their own health in them, as that Policy explains. Kavi does not collect consumer health data from listeners.

2.5 Canada. If you live in Canada, you can access the personal information Kavi holds about you, challenge its accuracy and completeness and have it amended, withdraw consent, and ask about Kavi's practices for service providers outside Canada.

2.6 Other US states. Depending on your state, the law may give you rights to know about, access, correct and delete your personal data and to get a portable copy. Kavi honors requests to access, correct and delete from people in every US state, subject to section 2.1.

2.7 No charge, no penalty. Kavi does not charge for a request, and will not treat you differently because you made one.

3. How Kavi confirms it is you

3.1 Kavi confirms your identity using information it already holds, and asks for nothing more than it needs:

If you are Kavi confirms it is you by
A listener Your writing from the email address on your account (or on the profile the request is about). If you write from another address, Kavi emails the address on the account and asks you to confirm
A creator Your making the request in the Kavi Creator Portal, or your writing from the email address in your Portal account (otherwise Kavi emails that address and asks you to confirm)
A guest, cast member, writer, editor, narrator or translator Your writing from the email address in your signed release or agreement (otherwise Kavi writes to that address or calls that number and asks you to confirm)
An affiliate program member, waitlist sign-up or creator applicant Your writing from the email address you gave Kavi (otherwise Kavi emails that address and asks you to confirm)

3.2 If you can no longer use that email address or phone number, Kavi may ask you to confirm a few details it already holds (for example, the name and date of birth on your profile, your plan and roughly when you subscribed, or the show you appeared in). Kavi will not ask you for new sensitive information.

3.3 Kavi never asks for a government identification number or Aadhaar number to confirm a privacy request, never asks you to send identity documents to confirm who you are, and never asks for your password, bank details or card number.

3.4 Before sending a copy of your data, or deleting it, Kavi may ask you to confirm the request again. Kavi sends copies only to the email address it confirmed. Kavi uses the details you give to confirm your identity only for that purpose and to keep a record of your request.

3.5 If Kavi cannot confirm your identity with reasonable effort, it will tell you, ask for more information, and act once it can.

4. When Kavi responds

4.1 Kavi acknowledges every request promptly and responds within the time the law that applies to you requires. These are the outer limits:

Request Acknowledgment Response
Any request made by email A reply with a reference number As below

Grievance about personal data (from anyone, including in India) Promptly Within the time the law that applies to you requires (in India, at most 90 days)

For a complaint from India under India's IT Rules: removal within 36 hours for content those Rules require users not to post (other than complaints that content belongs to someone else, infringes a copyright, trademark or patent, or breaks another law, which are resolved within 7 days); within 2 hours for an intimate image or impersonation (email safety@kavi.audio; see kavi.audio/legal/intimate-image-removal)

Withdrawing a Voice License Agreement Within 3 days As clauses 15 to 17 of that Agreement provide
Anything else Promptly Promptly, and within the time the law that applies to you requires

4.2 The time Kavi needs to confirm your identity does not extend the Washington periods. If Kavi needs more time where the law allows it, Kavi will tell you why.

5. Asking for someone else

5.1 Authorized agents. You may ask someone to make a request for you where the law allows. They must give Kavi your signed permission, and Kavi will also confirm the request with you directly (section 3), unless the agent holds a power of attorney.

5.2 Parents and guardians. A parent or legal guardian may make a request for a person under 18 (or under the age of majority where they live) whose data Kavi holds (for example, a guest or cast member under the age of majority, or a child who joined the waitlist). Every Kavi listener profile is for an adult (18 or older). If you think a profile was set up for someone under 18, email Kavi at privacy@kavi.audio: Kavi will close that profile and delete its personal data, except what the law requires Kavi to keep.

5.3 Legal representatives. A person with a power of attorney, a court order, or authority over the estate of someone who has died may make a request with proof of that authority.

5.4 Nominees (India). If you live in India, you may nominate another individual to exercise your rights under the DPDP Act if you die or become unable to act. Say that you want to nominate someone when you email privacy@kavi.audio (creators can also use the Creator Portal). You can change or cancel the nomination the same way. A nominee acting later sends proof of the death or incapacity (for example, a death certificate, medical certificate or court order). For creators, a data-protection nominee is separate from the royalty nominee named in a Master, though you may name the same person.

5.5 Proof of authority is sent as an attachment (a scan or photo) to privacy@kavi.audio. If a document shows a government identification number or Aadhaar number, cover it before sending. Kavi deletes proof-of-authority documents 90 days after checking them, and keeps only the result. Kavi never asks for identity documents to confirm who you are.

6. What happens after you submit

6.1 Acknowledgment. You receive an email with your reference number.

6.2 Confirming it is you. Kavi confirms it is you as section 3 says, and checks any proof of authority.

6.3 Kavi works on your request. Kavi may ask you to clarify what you want. For a deletion, Kavi tells you beforehand what will be deleted, what will be de-identified and what must be kept, and why.

6.4 Kavi's response. Kavi emails you the outcome. If Kavi declines any part of your request, it tells you why and how to appeal.

6.5 Appeal. You may appeal by replying to Kavi's decision or by emailing privacy@kavi.audio with your reference number and the word "Appeal". Kavi tells you the outcome of the appeal and, where your law provides for it, which authority you can contact.

6.6 Complaints to an authority. You may also complain to:

6.7 Records. Kavi keeps a record of your request and its response as the privacy notice that applies to you describes.
