Kavi Media, Inc.
Version 1.0 — Effective 20 October 2026
Published at kavi.audio/legal/contributor-privacy-notice

1. About this Notice

1.1 This Contributor Privacy Notice is a standalone notice. It is not one of the Kavi Creator Policies and is not acknowledged under the Kavi Creator Policy Acknowledgements. It explains what personal data Kavi Media, Inc. collects about people who contribute to content on Kavi but do not sign a creator agreement. It explains why Kavi uses the data, who receives it, where it is processed, how long it is kept, and the rights you have and how to use them.

1.2 Kavi Media, Inc. is a Delaware corporation with its principal place of business in Alpharetta, Georgia, USA (mailing address: 169 Madison Ave STE 30314, New York, NY 10016, USA) ("Kavi", "we", "us"). Kavi decides why and how your personal data is processed. Under India's Digital Personal Data Protection Act, 2023 (the "DPDP Act"), Kavi is the data fiduciary for your personal data. Under Canada's Personal Information Protection and Electronic Documents Act ("PIPEDA"), Kavi is the organization responsible for it.

1.3 How you receive this Notice. (a) Guests: the Creator who invites you must give you this Notice with the Guest / Participant Release. (b) Cast members and writers: you receive this Notice with the Cast & Writer Release. (c) Freelance editors: Kavi gives you this Notice with the Freelance Editor Agreement. (d) Narrators and translators: Kavi gives you this Notice before you sign the Narrator & Translator Services and Assignment Agreement. (e) Parents and guardians: Kavi gives you this Notice before it collects any personal data about the Minor. For an India-linked Minor (section 12.2), Kavi gives it to you before it asks for your consent under section 12.4. This Notice is also always available at the link above, and by email from privacy@kavi.audio.

1.4 The Creator. The creator who invites you to appear in, perform in or write for a show (the "Creator") also collects and uses your details. The Creator uses them to make the show, to record your consent and, if the Creator agreed to pay you, to pay you. The Creator and Kavi each decide how they use your data for their own purposes. This Notice explains what Kavi does. You may contact Kavi about either. If only the Creator can answer your question, Kavi will tell you.

1.5 Languages. This Notice is in English. Kavi may, as a courtesy, provide a Telugu translation; the English text is the official version. If you live in India (or, for a Minor, if the Minor or the parent or guardian lives in India), Kavi will make this Notice, and every consent request it gives you under the DPDP Act (including the release or agreement you sign and the guardian consent in section 12.4), available in English and in Telugu, and on request (an email is enough) in any other language listed in the Eighth Schedule to the Constitution of India, by 13 May 2027.

2. Who this Notice applies to

2.1 This Notice applies to: (a) guests and other participants who sign a Guest / Participant Release (Document G), or who give the recorded verbal consent set out in it, and anyone who joins a Kavi Studio online session or visits Kavi's physical studio as a guest (Studio Use Agreement and Liability Waiver, Document P); (b) performers (voice actors, narrators of a show and other cast members) and writers (scriptwriters, script editors, composers, sound designers and other contributors) who sign a Cast & Writer Release (Document G2); (c) freelance editors who sign a Freelance Editor Agreement (Document L); (d) narrators and translators who sign a Narrator & Translator Services and Assignment Agreement (Document N); (d1) voice actors who sign a Voice License Agreement (Document O). For their Voice Data and Voice Model, Schedule O-2 of that Agreement is the main notice and prevails over this Notice; (e) the individual who signs the Individual Undertaking when a company signs Document L or Document N; (f) parents and legal guardians (each a "Guardian") who sign a release, or Part C of a Minor / Guardian Rider (Document K), for a person under the age of majority (a "Minor") who is a guest, cast member or writer, and the Minor whose data is involved. Where Part B of that Rider applies to a Minor who is a creator, co-host or co-owner, the Creator Privacy Notice covers that Minor and the Guardian for that role; and (g) assistants and subcontractors whose details an editor, narrator or translator gives Kavi.

2.2 It does not cover creators, co-hosts, co-owners and co-authors who sign a creator agreement or the Creator Terms — Short-form. They are covered by Kavi's Creator Privacy Notice. It does not cover Kavi's listeners, who are covered by Kavi's listener privacy policy. If you have more than one role (for example, you are a creator and also edit for Kavi), each notice applies to the role it covers.

2.3 Editors, narrators and translators. When you work on content for Kavi, you handle other people's personal data on Kavi's instructions. Your agreement (clause 9 of Document L, clause 10 of Document N) sets your duties for that data. This Notice covers your own personal data only. It does not change those duties.

2.4 Kavi does not accept a release from, or engage, anyone who lives in Quebec until French versions of its documents exist (section 12.6).

For people who live in India, Kavi processes the data you provide to enter into, perform and be paid under your release or agreement, and to meet tax and legal duties, as a legitimate use under section 7 of the DPDP Act (data voluntarily provided for a specified purpose; compliance with law). Kavi relies on consent only for the optional uses marked 'consent' in this section, which it asks for in a separate step.

India-linked Minors. For an India-linked Minor (section 12.2), Kavi relies only on the Guardian's verifiable consent (section 12.4) and on what the law requires.

Canada. If you live in Canada, Kavi collects, uses and discloses your personal information with your consent for the purposes in this Notice. That consent does not cover using your voice to train, fine-tune or evaluate an AI model (unless you tick the Kavi model training consent in your release, section 7.5), building a model that can reproduce your voice, or replicating your voice (section 7).

United States. If you live in the United States, Kavi uses your personal data for the purposes in this Notice under your release or agreement, to comply with law, and for Kavi's legitimate business needs described above.

Other countries. If you live anywhere else, Kavi uses your personal data only for the purposes in this Notice, and will respect the rights your local law gives you (section 9.5).

What Kavi does not do. Kavi does not sell your personal data. Kavi does not share it for cross-context behavioral advertising. Kavi does not use your personal data or your contribution for any purpose not described in this Notice or your release or agreement.

5. Who Kavi shares personal data with

5.1 Service providers. Kavi uses the following service providers to process contributors' personal data for Kavi. Each may use the data only to provide its service to Kavi (or, for Kavi's payout provider, its tax-form provider and eSign providers, also to meet its own legal obligations under its own terms).

Each is bound by its written terms, together with the opt-out Kavi has exercised under them, not to train, fine-tune, improve or evaluate any model on creator content. Each may receive audio in which your voice is heard, but may never clone, match or model your voice (section 7) Your contribution, only as section 7 allows
Rewardful Tracking referrals and commissions under Kavi's affiliate program, if you join (commissions are paid through Kavi's payout provider) Affiliate program data; contact data

5.2 Other recipients, by category: (a) the Creator of the show (and any co-host or co-owner who runs it with them): your release, credit, consent records and, for a Minor, whether the Guardian's consent is complete; (b) editors, translators and narrators Kavi engages (some located in India), who work on content that contains your voice or name under written confidentiality and data-processing terms, and must delete their working copies within 14 days after Kavi accepts their work; (c) AI tools that Kavi and its editors use only for transcription, captions, search, catalog metadata (such as keyword tags and descriptions), noise reduction, loudness processing, content moderation, fraud detection, detecting and labeling synthetic audio and training Kavi's own models as section 7.5 describes, each bound by its written terms, together with the opt-out Kavi has exercised under them, not to train, fine-tune, improve or evaluate any model on your data other than Kavi's own models trained solely for Kavi under section 7.5; (d) Kavi's licensees and distributors of the show, audiobook or translation, as your release or agreement allows (for narrators and translators, this includes the author or publisher whose work you narrate or translate, and the platforms they or Kavi license the work to under your agreement); (e) listeners and the public: your name or credit name, your voice and contribution, and any approved photograph and biography, as your release or agreement allows. A narrator or translator may ask in writing not to be credited; (f) email, communication and office software providers Kavi uses to run its business; (g) your copyright or collecting society, where you ask Kavi to pay it or the law requires; (h) tax authorities (for example, the US Internal Revenue Service), as tax law requires; (i) courts, regulators, law enforcement and government agencies, where the law requires or to respond to a valid legal order, including authorities that issue child-performer permits or court approvals for a Minor; (j) people who complain about content, to the extent the law requires; (k) Kavi's professional advisers (such as accountants and lawyers), under confidentiality; and (l) a buyer, successor or assignee of Kavi's business, of the show, or of rights in your work, as your release or agreement allows.

5.3 Kavi does not give your tax or bank details to the Creator or to any other creator. If Kavi pays you on the Creator's behalf, the amount appears on the Creator's royalty statement.

6. Where your data is processed and international transfers

6.1 Kavi's main systems run on AWS in a US region. Your personal data may be processed in the United States, India and Canada, and in other countries where Kavi's service providers operate, by Kavi and its service providers. The Approved AI Voice Vendor List, published at kavi.audio/legal/ai-voice-vendors, shows where each AI voice vendor and each AI tool provider that processes content processes data; Kavi will also send it to you on request to privacy@kavi.audio. Editors and other people Kavi engages may hold content and related data in their own country of residence. If Kavi pays you, your tax form, tax identification numbers and identity details go to Kavi's tax-form provider, and your bank details go directly to Wise, Kavi's payout provider, to be processed in the United States, including if you live in India or Canada. Wise may also process them in the other countries where it and its partner banks operate (for India payments, including its partner bank in India).

6.2 While your personal data is outside your country, it is subject to the laws of the country where it is, and may be accessed by that country's courts, law-enforcement and national-security authorities.

6.3 Kavi uses contracts to require its service providers, editors, narrators and translators to protect personal data to a standard comparable to the law that applies to you.

6.4 India. Kavi transfers personal data of people who live in India outside India only as the DPDP Act allows. If the Government of India restricts transfers to a country Kavi uses, Kavi will tell you and will stop transferring your data there or use another lawful means.

6.5 Canada. You may ask Kavi's privacy contact (section 14) for information about Kavi's policies and practices for service providers outside Canada.

7. Voice, AI and synthetic-voice data

7.1 No cloning of your voice. No one may make a digital replica or synthetic imitation of your voice or likeness from your contribution, or use your contribution in or with any model to reproduce or imitate your voice, unless you have signed a separate written consent for that specific use. No one may apply a voice-cloning, voice-matching or voice-preservation feature of any tool to your voice. Kavi requires its editors and vendors to follow the same rule.

7.2 Replicas of your contribution: none offered today. Kavi's AI-Voice & Digital Replica Consent covers only the creator who signs it. It does not cover guests, cast members, narrators or translators. Kavi does not currently offer any contributor a consent to replicate their voice from their contribution. Any future offer will need a separate consent that you sign, that describes each use, and that you can revoke. For a cast member, it will be a three-party consent signed by you, the Creator and Kavi. For a narrator or translator, it will be a separate written consent that you sign. Separately, Kavi offers adult voice actors (who may also be narrators or cast members) a Voice License Agreement (Document O). Under it, the actor records new material so that Kavi can build its own synthetic voice. It never uses your contribution, and you can withdraw it at any time. It is never a condition of any release or agreement. It is never offered to a Minor (section 12).

7.3 What AI tools may do. Kavi's tools may process content that contains your voice, without reproducing your voice, only for transcription, captions, search, catalog metadata (such as keyword tags and descriptions), recommendations, content moderation, fraud detection and detecting and labeling synthetic audio, for training Kavi's own models as section 7.5 allows, and for translation or dubbing only as section 7.4 allows. Editors may also use approved tools for noise reduction and loudness processing.

7.4 Translated and dubbed versions. A translated or dubbed version is voiced either by a different human, or by a stock synthetic voice or a Kavi Voice (a synthetic voice Kavi licenses from a consenting voice actor), neither of which is modeled on, matched to or readily identifiable as your voice. Kavi labels a version voiced by a stock synthetic voice "Translated with a synthetic voice", and a version voiced by a Kavi Voice "Translated with a synthetic voice (Kavi Voice)".

7.5 AI training. Guests, cast members, narrators and translators: Kavi may use your contribution, including its audio (such as tone, rhythm and intonation) and its transcript, and any script you wrote, free of charge, to train, fine-tune, evaluate and improve AI models that Kavi owns or exclusively controls, including speech-recognition, transcription, translation and speech-synthesis (text-to-speech) models, as your release or agreement describes. Kavi owns those models and may license them (speech-synthesis models only as a hosted service, never as a copy of the model), but never your contribution or any dataset containing it. No such model is ever used to imitate or reproduce your voice, and Kavi uses reasonable measures to stop that happening. If you live in India, Canada, Illinois, Texas or Washington, Kavi does this only if you ticked the consent box in your release or agreement; everyone else may opt out. To opt out or withdraw, email privacy@kavi.audio with your name and "AI training opt-out" at any time (any clear request counts): within 30 days after receiving it, Kavi stops using your contribution in new training and deletes it from its training datasets, but models already trained are not retrained. Kavi never does this for anyone under 18 (or under the age of majority where they live, if higher). This applies only to agreements and releases signed on version 1.0 (20 October 2026) or later. Everyone: each AI vendor that receives content containing your voice is bound by its written terms, together with the opt-out Kavi has exercised under them, not to train, fine-tune, improve or evaluate any model on it, except that, for a person who has not opted out (or has consented), a vendor may train Kavi's own models solely for Kavi. Kavi does not license or allow anyone else to train on your contribution without your separate written consent.

7.6 Washington residents. If you live in Washington State, USA, your voice recordings may be consumer health data under Washington's My Health My Data Act. Kavi collects and shares them only with the separate consents in your release or agreement, and Kavi's Consumer Health Data Privacy Policy (kavi.audio/legal/consumer-health-data-privacy-policy) applies.

8. How long Kavi keeps personal data

Where your release or agreement sets a period, that period applies.

Data How long Kavi keeps it
Guest / Participant Release or Cast & Writer Release, the recorded verbal consent file, any Guardian signature, Minor / Guardian Rider, guardian-consent record (section 12.4), child-performer permits and court approvals, and their e-signature audit trails For as long as any license or other right relating to the covered content remains in effect under the applicable creator agreement or the Creator Terms — Short-form, and for 7 years after that. This includes the contact details in the release's signature block.
Other contact details of guests, cast members and writers (details not in the signed release) No longer than 24 months after the episode or the covered episodes are published. If the episode is withdrawn or never published, no longer than 24 months after the recording.
Freelance Editor Agreement, Narrator & Translator Agreement, Voice License Agreement, Individual Undertakings and Work Orders, and their e-signature audit trails For as long as any right granted or assigned under the agreement remains in effect, and for 7 years after that (which is also the period Exhibit C of the agreement promises to US residents)
The published episode, audiobook or translation that contains your contribution For as long as Kavi or its successors hold rights in it. If your contribution is withdrawn or removed, Kavi deletes its copies within 30 days, except any copy the law requires Kavi to keep, which it does not use.
A contribution in Kavi's AI training datasets (section 7.5) Until you opt out or withdraw (removed within 30 days), or until 30 days after Kavi's rights in the episode end, whichever is first. Models already trained are kept and are never used to imitate your voice.
Voice License Agreement session recordings, Voice Data and Voice Model As clause 17.7 of that Agreement provides: deleted within 30 days after the earliest of: the agreement ending (a withdrawal takes effect 30 days after your notice, or on receipt if you live in Washington State or withdraw under India's DPDP Act), 23 months passing without a new Output, or Kavi learning of your death; backups within 6 months. Outputs already made stay available as its clause 16 provides.
Raw recordings, takes, pickups and working files that contain your voice Deleted 12 months after the edit is approved. Editors, narrators and translators must delete their own working copies within 14 days after Kavi accepts the final work.
Account records, and payment, tax, invoice and sanctions-screening records (only if Kavi pays you) 7 years after the last payment Kavi makes to you, or longer where tax or other law requires. Kavi's payout provider and tax-form provider keep their own records for as long as the law that applies to them requires.
Sign-in details for Kavi's workspace or the Creator Portal, if Kavi has never paid you 3 years after the account is closed
Kavi Studio online session files (tracks, markers, session information, editor notes) 90 days after the recording stops, unless sent for editing under an Editing Support Agreement or needed for a legal reason
Studio join-screen consent records and booking records 3 years after the session, or as long as the release records where content containing the Recording is published
Physical studio: doorbell-camera footage; health or access information you choose to give Footage up to 30 days; health or access information deleted within 30 days after the Session (each kept longer only if an incident, the law or a pending dispute requires it)
Identity documents Kavi itself receives (including a Guardian's identity document, proof of a Minor's date of birth and proof of a Guardian's relationship or authority) Deleted 90 days after verification; only the result of the verification is kept
Communications, withdrawal and removal requests, privacy requests, grievances, and security logs 3 years after the matter is closed, or longer if a dispute or legal requirement needs it

Kavi may keep data for longer only where the law requires it, or where it is needed for a legal claim, investigation or legal hold, and then only for that purpose. Records about child-safety reports are preserved as the law requires.

9. Your rights

9.1 Everyone. Wherever you live, you may ask Kavi to: (a) tell you what personal data Kavi holds about you and how it is used, and give you a copy; (b) correct inaccurate or incomplete data, or update it; (c) erase data Kavi no longer needs; and (d) stop processing based on your consent (section 10). Kavi may decline or limit a request where the law allows, for example where Kavi must keep tax, payment or contract records, where the data is needed to perform your release or agreement, or where another person's rights would be affected. Kavi will tell you why.

9.2 Erasing your contribution from published content. A request to erase your voice or contribution from content that is already published is also handled as a removal request under your release (for a guest, clause 6.2 of the Guest / Participant Release: Kavi considers it in good faith and replies by email within a reasonable time, normally 30 days). Kavi stops using your personal data where the law requires it. Copies or clips already distributed may not be recallable.

9.3 India (DPDP Act). If you live in India, you have the right to: (a) obtain a summary of your personal data being processed and the processing activities, and the identities of the data fiduciaries and processors with whom it has been shared, with a description of the data shared; (b) correct, complete, update and erase your personal data, subject to the law; (c) have your grievances redressed by Kavi (section 11); (d) nominate another individual to exercise your rights if you die or become incapable, by writing to privacy@kavi.audio; and (e) withdraw consent (section 10). Kavi applies these rights now. The DPDP Act's duties on notice, consent, security, breach intimation, children's data, data principal rights and transfers bind Kavi by law from 13 May 2027, or any earlier date the Government of India notifies.

9.4 Canada (PIPEDA and, in British Columbia, PIPA). If you live in Canada, you may access the personal information Kavi holds about you, challenge its accuracy and completeness and have it amended, withdraw consent (section 10), ask about Kavi's practices for service providers outside Canada, and complain to Kavi and to the Office of the Privacy Commissioner of Canada. If you live in British Columbia, British Columbia's Personal Information Protection Act may also apply, and you may also complain to the Office of the Information and Privacy Commissioner for British Columbia.

9.5 United States and other countries. Depending on where you live, privacy laws may give you rights to know about, access, correct and delete your personal data, to obtain a portable copy, and to opt out of the sale of personal data, targeted advertising and certain profiling. Kavi does not sell your personal data or use it for targeted advertising. Kavi honors requests to access, correct and delete from contributors wherever they live, subject to the exceptions in section 9.1. If Kavi declines your request, you may appeal by replying to Kavi's decision; Kavi will tell you the outcome of the appeal and, where your law provides for it, which authority you can contact.

9.6 Minors. A Guardian may use these rights for the Minor. A Minor who reaches the age of majority may use them personally.

9.7 How to make a request. Email privacy@kavi.audio (kavi.audio/legal/privacy-request explains how), or write to the address in section 14. Kavi will verify your identity before acting on a request, using information it already holds (for example, by asking you to confirm the request from the email address or phone number in your signed release or agreement). Kavi will not ask you to send identity documents to confirm who you are. You may use an authorized agent where the law allows; Kavi may ask for proof of the agent's authority. Kavi will acknowledge your request promptly and respond within the time the law that applies to you requires. Kavi does not charge for a request, and will not treat you differently because you made one.

10.1 Where Kavi relies on your consent to process your personal data, you may withdraw it at any time, as easily as you gave it, by email to privacy@kavi.audio (a Guardian may also use the Creator Portal).

10.2 Withdrawal works only for the future. It does not affect processing done before you withdraw. It does not affect processing that the law requires or permits without your consent (for example, keeping tax and payment records).

10.3 Withdrawal does not undo the rights you granted. Withdrawing consent to the processing of your personal data does not withdraw the copyright, performer's-right and moral-right consents, grants, licenses, assignments and waivers in your release or agreement (for example, clauses 2 to 4 of the Guest / Participant Release, Parts A and B of the Cast & Writer Release, clause 6 of the Freelance Editor Agreement and clause 7 of the Narrator & Translator Agreement).

10.4 What Kavi does when you withdraw. Kavi will stop processing your personal data within a reasonable time, except where the law requires or allows it to continue. Kavi will tell you what the withdrawal means for you.

10.5 Guests. (a) The Release itself. A signed Guest / Participant Release cannot be withdrawn, before or after publication, except where the law that applies to you requires it, or as clause 8.1 of the Release allows for a Minor. (b) Withdrawing privacy consent. If you withdraw consent to the processing of your personal data, Kavi treats it also as a request under clause 6.2 of the Release: Kavi considers it in good faith, replies by email within a reasonable time (normally 30 days), and stops using your personal data and removes your contribution where the law requires it.

10.6 People Kavi pays. If you withdraw consent to data Kavi needs to pay you (for example, your tax or payout details), Kavi cannot pay you until you provide it again. The amounts stay owed and are not forfeited. Kavi will explain this before acting.

10.7 Minors. For an India-linked Minor (section 12.2), a Guardian's withdrawal of consent has the effect described in section 12.4, step 7.

11. Grievances and complaints

11.1 You may raise any privacy concern or grievance with Kavi first:

11.2 Kavi will acknowledge your grievance promptly and respond within the time the law that applies to you requires.

11.3 India. If you live in India and you are not satisfied with Kavi's response, you may complain to the Data Protection Board of India after using Kavi's grievance process, as the DPDP Act requires.

11.4 Canada. You may complain to the Office of the Privacy Commissioner of Canada and, if you live in British Columbia, to the Office of the Information and Privacy Commissioner for British Columbia.

11.5 United States and other countries. You may contact your state attorney general, or any other regulator that the law of the place where you live provides.

12. Children, minors and Quebec

12.1 No one under 13. No one under 13 may appear, perform, write or work on any content for Kavi. Kavi does not knowingly collect personal data from anyone under 13. If Kavi learns that it has, it will remove the content and delete the data, except what the law requires Kavi to keep.

12.2 Who counts as a Minor, and when a Minor may take part. A Minor is a person under the age of majority where they live (18 in most places; 19 in British Columbia and some other Canadian provinces and territories). In this Notice, an "India-linked Minor" is a Minor who lives in India, or whose contribution will be recorded, edited or stored by a Creator, co-host or editor in India. (a) A guest who is a Minor may appear only if a Guardian signs the Guest / Participant Release, the Creator uploads any child-performer permit the law of the place of recording requires, and, for an India-linked Minor, the Guardian's verifiable consent is completed under section 12.4 before recording begins. The recorded verbal consent cannot replace a Guardian's signature. (b) A cast member or writer who is a Minor may take part only with Kavi's prior written approval, a Cast & Writer Release and a Minor / Guardian Rider (Part C) signed by the Guardian, every child-performer or child-work permit the law requires, and, for an India-linked Minor, the Guardian's verifiable consent completed under section 12.4 before recording or writing begins. Kavi uses the Minor / Guardian Rider only for Minors who live in the United States, India, British Columbia or Ontario. (c) Editors, narrators and translators must have reached the age of majority. Kavi does not engage Minors under Documents L or N.

12.3 Data about Minors and why Kavi uses it.

Data Why
The Minor's name, credit name, date of birth or age, and country and state, province or territory of residence To confirm the Minor is 13 or older, to apply the right law, and to credit the Minor
The Minor's contribution (voice, words, any script) To produce, publish and promote the show only as the signed release allows
The Guardian's name, relationship to the Minor, address, email or phone, and residence; any second Guardian's details To record who consented and to contact the Guardian
The result of the Guardian's identity check; proof of the Minor's date of birth and of the Guardian's relationship or legal authority; anything the Guardian or others tell Kavi about a custody order or dispute To check that the person consenting has authority to do so
The India guardian-consent record (section 12.4) To prove verifiable consent was given before processing
Child-performer and child-work permits; court approvals To comply with child-performer law
Proof that a fee was paid into the Minor's account and any legally required set-aside deposit; and, only if Kavi itself pays an amount for the Minor, the Minor's account and set-aside account details and a tax form in the Minor's name To make sure money for the Minor reaches the Minor, and to meet tax law
Withdrawal, removal and welfare requests To act on them

Kavi collects and uses a Minor's personal data only as needed to perform the signed release and to comply with law, and for no other purpose. Kavi never uses it for behavioral tracking or monitoring, profiling, targeted advertising, sale, AI training or any voice replica. If a Minor uses a Kavi account (such as guardian-supervised access to the Creator Portal), Kavi does not carry out behavioral tracking or monitoring of it, does not direct targeted advertising to it, and uses only the analytics strictly needed to operate the service. Kavi will not offer a Minor, or a Guardian for a Minor, an AI-Voice & Digital Replica Consent or any AI-training opt-in.

12.4 India: Kavi's verifiable guardian-consent process. For an India-linked Minor (section 12.2), Kavi uses the following process. Kavi does not process the Minor's personal data until step 6 is complete, except the Guardian's contact details used in steps 1 and 2 and the Minor's name, date of birth and proofs given in step 4, which Kavi uses only to complete this process and deletes if consent is not completed within 30 days.

  1. Request. Before recording or writing begins, the Creator starts a guardian-consent request in the Kavi Creator Portal. The Creator enters only the Guardian's name and email or mobile number, and the show.
  2. Notice. Kavi sends the Guardian a secure link to Kavi's guardian access in the Creator Portal, with this Notice and the consent request, in the languages section 1.5 describes.
  3. Guardian identity check. A Guardian who lives in India proves their identity by Aadhaar-based or other e-KYC eSign through Leegality, or with a digital signature certificate; a Guardian who lives elsewhere uploads government identification through the Creator Portal (never by email or messaging app). Kavi receives only the result and the certificate (or the identification), and confirms from the eSign or DigiLocker result, or from the date of birth on the identification, that the Guardian is 18 or older; if it cannot confirm this, Kavi does not proceed. Kavi never receives or stores an Aadhaar number.
  4. Relationship and age. In the secure form, the Guardian confirms that they are the Minor's parent or legal guardian with authority to act for the Minor, and that no court order or other person with parental responsibility objects. The Guardian gives the Minor's name and date of birth. For a cast member or writer, the Guardian also uploads, through the Creator Portal (never by email or messaging app), proof of the Minor's date of birth and proof of the Guardian's relationship or legal authority. Kavi may ask any Guardian for these proofs. If Kavi knows of a custody order, separation or dispute, every person with legal authority must complete the process.
  5. Consent. The Guardian gives a separate, specific consent to each purpose in section 12.3, by ticking each one (nothing is pre-ticked), and signs it by eSign (or, for a Guardian who does not live in India, through DocuSeal). Kavi records the Guardian's name, the result of the identity check, the version and language of this Notice, the purposes consented to, and the date and time.
  6. Confirmation. Kavi marks the consent as complete in the Creator Portal. The Creator must not begin recording or writing until then. Kavi will not accept or publish content containing the Minor's contribution without a completed consent.
  7. Withdrawal. The Guardian may withdraw this consent at any time, through the Creator Portal or by email to privacy@kavi.audio. Kavi will then stop processing the Minor's personal data, except data the law requires Kavi to keep. This means Kavi will remove content containing the Minor's contribution from the Kavi service within 30 days. For a cast member or writer under the Minor / Guardian Rider, Kavi's licenses in that content are suspended while the withdrawal lasts and end if it is not reversed within 12 months, and if the Guardian gives consent again, the release resumes for that content (Minor / Guardian Rider, Section 8.2). Kavi will tell the Guardian in writing what the withdrawal means for the release. Withdrawal does not undo anything lawfully done before it, and copies already distributed may not be recallable.
  8. Records. Kavi keeps the consent record with the signed release (section 8). It deletes identity documents 90 days after verification and keeps only the result.

Kavi applies this process now, although the DPDP Act's duties on children's data bind Kavi by law from 13 May 2027.

12.5 Withdrawal, cancellation and removal for any Minor. (a) A Guardian may withdraw a release before the content is first published, by email to legal@kavi.audio or by telling the Creator. (b) If a guest, or a Guardian for a guest, asks in writing (email to legal@kavi.audio is enough) to cancel a Guest / Participant Release because the guest was a Minor when it was signed, Kavi removes the contribution from the Kavi service within 30 days. (c) After publication, a Guardian may ask Kavi to remove the content and give reasons. Kavi removes it within 30 days where the Minor's welfare reasonably requires it, and explains in writing if it refuses. (d) If a Minor cast member or writer disaffirms (cancels) the release, Kavi removes the content within 30 days after written notice, unless a court approval covers the release.

12.6 Quebec. Kavi does not accept a release from, or engage, anyone who lives in Quebec until it has French versions of the release or agreement and of this Notice. Before it does, Kavi will publish a French Quebec section of this Notice covering the requirements of Quebec's private-sector privacy law. Kavi's person in charge of the protection of personal information is Srihith Pallamreddy (Privacy & Grievance Officer), privacy@kavi.audio.

13. Security

13.1 Kavi uses reasonable technical and organizational measures to protect personal data. These include encrypted connections, access controls that limit data to the people who need it, written security and data-processing terms with its service providers, editors, narrators and translators, and deletion of working copies after the work is done.

13.2 Payment and tax details are collected only through Kavi's secure provider form, never by email. Identity documents are collected only through Kavi's secure systems or eSign provider, never by email or messaging app.

13.3 No system is perfectly secure. If a personal data breach affects your data, Kavi will notify you without undue delay, and will notify regulators, as the law requires.

13.4 Kavi will never ask you for your password, or for tax, identity or bank details, by email, direct message or phone.

14. Contact

15. Changes to this Notice

15.1 Kavi may change this Notice as follows: (a) Kavi publishes every change at the link above. For a material change, Kavi gives at least 14 days' notice by email to the contact details it still holds for you, with a summary of what changed; (b) shorter notice, or immediate effect, only where required by law, a court or regulator order, or to deal with an urgent safety, security, fraud or child-safety risk, and only to the extent that requirement or risk demands, with an explanation as soon as practicable; (c) a change in your favor, or a purely administrative change (such as an updated contact detail), may take effect when published; (d) a change that expands what Kavi may do with your personal data (including AI uses) is a material change. Where it needs your consent, Kavi will ask for that consent separately and will not rely on this Notice alone. For an India-linked Minor (section 12.2), Kavi will ask the Guardian through the process in section 12.4; and (e) a change does not apply to processing that took place before it took effect, except where the law, a court or regulator order requires it.

15.2 No change to this Notice can change the rights you granted or kept, or any fee or payment terms, under your signed release or agreement.

15.3 Every past version is available on request from privacy@kavi.audio.

16. Your signed release or agreement prevails

If this Notice conflicts with your signed release or agreement (the Guest / Participant Release, the Cast & Writer Release, the Minor / Guardian Rider, the Freelance Editor Agreement, the Narrator & Translator Services and Assignment Agreement, their exhibits and Work Orders, and any other signed document with Kavi), your signed release or agreement prevails. Nothing in this Notice limits a right the law gives you that cannot be limited by agreement.
